
The adviser needs more than a revenue total
Monthly accounting needs more than final figures. An adviser must understand which payments were confirmed, which cash movements occurred outside sales and where supporting receipts can be found. Bonzumo provides closing, reporting and archive contexts. That does not automatically create a complete accounting handover. Agree with the recipient exactly which files, reports and periods are required, and who in your venue checks their completeness.
Agree on the period with the recipient
A restaurant working late may operate across midnight. A calendar day, trading day and exported reporting period can therefore have different boundaries. Clarify what period the adviser expects before the first handover. Check that all relevant daily closes are included and decide how later additions or open questions are handled. A clearly labelled monthly package is more useful than several nearly identical files with no explanation of their dates or versions.
Separate payment methods from physical cash
Card payments, later provider payouts, cash in the drawer and cashbook movements are different things. If they collapse into one total, every question becomes an investigation. Choose the actual payment method during service and review the resulting figures at closing. Give an addition or withdrawal its own reason. The adviser needs to know which number came from a confirmed sale and which describes the movement of physical money. Bonzumo can show the relevant relationships.
Resolve exceptions before sending the package
An uncertain terminal response, missing invoice or cash difference should be assigned to a person on the day it happens. If an export raises it weeks later, colleagues may no longer remember the table conversation. Record the observed facts, time and current review status. A short exception list can tell the adviser what is resolved and what remains open. Never start a second payment merely to make paperwork appear complete. First establish what happened to the original transaction.
Test the import at the receiving end
If data export is planned, test more than file creation. Ask the accounting office to try a real import with suitable sample data. Check field mapping, period, document links and any error messages together. A DATEV file or another format is useful only if it fits the recipient workflow. Provider and account compatibility need to be checked for the specific combination. A general claim of integration will not answer the questions your accountant actually has.
Create a small, repeatable monthly ritual
Decide who approves closes, assembles records, documents the version sent and answers questions from the adviser. Another colleague should be able to follow the same route during holidays or staff changes. Often a one-page checklist is enough. Plan for questions after the adviser receives the package
The handover does not end when a file is sent. The accounting office may later ask about a card payment, a cash difference or the document for one part of a split bill. Decide who receives those questions and what that person may inspect in the Bonzumo archive and closing view. An answer should identify the specific transaction and explain the review status. If several employees first have to compare private notes, the original handover was not prepared well enough.
Keep the version of the handed-over records traceable. If a later question leads to an additional explanation, it should be clear which monthly package it refers to. This does not mean silently changing historical sales. Any correction follows the intended accounting process and is explained separately. Test a receipt requested after the monthly handover. Can the restaurant and adviser reconstruct the same transaction history? That is the practical value of a carefully prepared package.
During the first month, agree on a response window for questions and a channel for naming the specific record without sending unnecessary guest details. The adviser may need clarification about a payment method or document rather than a new export of the entire period. A person in the restaurant should be able to locate the relevant transaction, record the answer and link it back to the package already sent. That small feedback loop makes the next monthly handover easier to prepare.
