
Place of work and permission are separate questions
A server may work in the dining room today, on the terrace tomorrow and at a second site at the weekend. The rota says where they are scheduled. Their role says which tasks they may perform. Mix these up and a move may unexpectedly grant extra rights or leave an agreed task inaccessible.
Describe normal work at the new place first: tables, checkout, reservations and responsibilities. Compare it with the existing role. Bonzumo connects team, shift and work-area context; specific access should reflect those tasks. Assignment to another site alone is not blanket permission to manage personnel or see every business report.
Time-box temporary cover
A shift lead is unexpectedly away. An experienced colleague takes over selected decisions for two days. Record which decisions are included, who approves cover and when it ends. Permanent admin access as an emergency fix makes later removal difficult. Limited, clear cover keeps the team operating while preserving accountability.
Test a real exception: may the covering colleague view the rota, edit it or approve a checkout decision? These are different actions. Walk through the case with a test account and verify that extra rights end afterwards. When the original lead returns, the normal arrangement should be restored without guesswork.
Explain local work when people move
At a second site, areas may have different names, printers may be elsewhere and reservation handling may follow another route. The same username does not mean the colleague knows the process. Offer a short introduction to floor plan, output points and contacts. Check that the products and workstations available at that site are understandable in the interface.
A test order with a drink, kitchen item and special request quickly shows whether cover staff find the correct stations. Add a guest question about a reservation. This turns abstract location access into a testable work route. A misplaced printer job or missing contact can slow service even though login works.
Protect personal information across sites
With several venues, sales, staff and hours are not automatically relevant to every colleague at every place. Decide what a moving colleague needs for the shift and what remains with local leadership or office staff. An employee should find their own shift information without seeing another persons file.
Test both allowed views and areas that should remain inaccessible. Covering a bar does not imply a right to another sites closing data. Record these boundaries clearly so a later reorganisation does not silently erase them. Bonzumo access should match responsibility, not the last device somebody opened.
Check open work at a shift change
A colleague taking over a shift may find open tables, unfinished payments and reserved places. Changing workstation should not hide that work. It should also be clear who performs the next action. Use a short handover: which tables are active, which payment is unresolved, which order waits at a station and who is responsible on site?
A split bill makes this especially important. Cover staff should distinguish paid portions from the balance and investigate an unclear terminal status before attempting another charge. A rota assignment does not replace a working handover. Bonzumo brings transactions into shared context; people must deliberately take the next step.
Review access and experience after cover
After a cover shift, ask what task could not be completed, where access was broader than needed and which local process was unclear. Use specific examples rather than general satisfaction. Remove temporary privileges and record useful changes for next time. Cover then becomes easier without leaving a growing collection of unreviewed grants.
In a demo, simulate two shifts and two areas. Move a colleague, test normal tasks, an exception and a denied action, then demonstrate removal.
